Position Summary:
The Accounts Officer is responsible for providing accurate and efficient financial and administrative support across the full range of accounting functions. This includes assisting with accounts payable and receivable, reconciliations, reporting, and general ledger maintenance.
The role ensures financial transactions are processed in accordance with company policies, accounting standards, and statutory requirements to support the overall integrity of the organisation’s financial operations.
KEY RESPONSIBILITIES
Account PayableProcess supplier invoices, credit notes, and expense claims accurately and in line with company policies.Reconciling credit card receipts to statements and have it accurately entered in the accounting system.Match invoices to purchase orders, ensuring proper authorisation.Prepare and process payment runs, ensuring compliance with delegations and payment terms.Reconcile supplier statements and resolve discrepancies promptly.Create and maintain supplier master data records, including new setups, updates, and conducting phone verification to confirm bank account details.Complete credit account application to set up account with new suppliers.Maintain various master data registers including leases, fuel cards and mobility services accounts.
Accounts ReceivablesMonitor accounts receivable balances and follow up outstanding debts.Support cash receipting and banking processes.
General Ledger and ReconciliationsPerform bank reconciliation of all bank accounts – domestic and foreign currency accounts.Prepare and post journal entries and adjustments as required.Reconcile AP assigned balance sheet accounts and investigate discrepancies.Assist with monthly and year-end close processes.Maintain integrity of financial data within the ERP system.
Financial Reporting and SupportPrepare and maintain regular cash flow forecast, and expenditure reports as directed.Provide financial data and supporting documents for audits and reviews.Support the Finance team with budgeting, forecasting, and cost tracking activities.Participate in process improvement initiatives to enhance efficiency and accuracy.
Compliance and AdministrationEnsure compliance with accounting standards, taxation requirements, and company policies.Maintain accurate and organised financial records and E-filing systems.Support implementation of internal control measures.Provide general administrative support to the Finance and Corporate team as required.Accurately process accounts payable, accounts receivable, and journal entries in accordance with company policies and accounting standards.Assist with preparation and processing of payment runs, ensuring correct authorisation and compliance with company delegations.Review and verify invoices, receipts, and supporting documentation for completeness and accuracy.Maintain and reconcile AP assigned general ledger accounts, ensuring data integrity and timely resolution of discrepancies.
Stakeholder SupportLiaise with internal stakeholders including project teams, procurement, and HR to ensure accurate and timely financial outcome.Respond promptly to queries from internal and external parties regarding financial transactions.Maintain positive relationships with suppliers, clients, and colleagues.Support accounts payable peers.

QUALIFICATIONSBachelor's Degree in Accounting or FinanceMinimum 2-5 years' experience as an Accounts Officer in civil construction, ideally on infrastructure projects such as roads, pipelines, oil, gas, renewables or utilitiesEffective oral and written communication skills including proven ability in preparation of written reports, procedures, recommendations and proposals.Stakeholder management: Experience working collaboratively and making decisions with stakeholders to review, analyse, negotiate and implement financial solutions.Familiarity with GST, BAS, and Australian financial reporting standards.Understanding of invoicing, payments, reconciliations, and aging reportsAbility to manage high transaction volumes and meet deadlines.Demonstrated experience with financial reporting, reconciliations, and transactional accounting.Intermediate knowledge of MS Office & SharePoint; Excel, Word, PowerPointExperience using ERP systems, such as Workbench, SunSystems and Concur or similar accounting software.Strong transactional accounting experience across AP, AR, and GL.Experience with reconciliation, data entry, and numerical accuracy skills.

The Document Controller is responsible for managing and administering document control processes across engineering and project activities within Intellect Systems.The role ensures that all project documentation is accurately processed, formatted, tracked, issued, and archived in accordance with the Intellect Systems Document Management System (DMS) and procedures.In addition to formal document control duties, the role provides ad hoc documentation and administrative support to the broader business as required.
Key Responsibilities
1. Document Control & Review Coordination· Fulfill the roles of Document Controller and Review Coordinator.· Administer and maintain the document control procedure, DMS user guide and flowcharts· Ensure compliance across projects to the IS and client procedures.· Monitor document workflows to ensure timely review, approval, and issue.· Coordinate internal and external document reviews.· Request, administer and maintain document & drawing registers or deliverable lists on a per project basis.· Track document status and follow up with reviewers to maintain schedule alignment.· Administer and update client document management systems when required (all platforms including Aconex and Ineight Document)
2. DMS & System Administration· Process all incoming and outgoing documentation within the DMS.· Maintain accurate document registers and metadata.· Ensure correct document numbering, revision control, and distribution.· Configure document workflows in accordance with project requirements.· Apply client-specific document management system requirements where required.
3. Transmittals & Communication· Prepare outgoing transmittals and process incoming transmittals and workflows.· Liaising with client doc control and project teams as required.· Ensure accurate recording of document submissions and receipts.· Maintain traceability of all document exchanges.· Ensure compliance with client and project communication protocols.
4. Document Formatting· Format documentation in accordance with company and client templates.· Prepare documents for issue, ensuring consistency and quality.· Conduct quality checks prior to release (formatting, numbering, revision accuracy).· Issue controlled documents to relevant stakeholders.
5. Project & Client Compliance· Ensure document control activities comply with:o Internal Quanta systems and procedures.o Client-specific document management requirements.o Project-specific documentation standards.· Maintain audit-ready document registers.
6. The Document Control Specialist will facilitate the receipt, retention and distribution of all drawings, documents and official correspondence between the team, their clients and vendors.

KEY RESPONSIBILITIES:
Primary Substation DesignDevelop outdoor substation primary design package: including plot plans, general arrangements, bus elevations, ampacity diagrams, ground grid design, equipment and structure grounding details, and control and power cable routing for voltage levels ranging from 25 kV to 240 kV.Design control building electrical systems, including lighting, power distribution, HVAC power supplies, and auxiliary services.Perform engineering calculations and studies including grounding, lightning protection, lighting, AC/DC load analysis, station service transformer, and battery bank sizing, insulation coordination, and rigid bus design.Perform MV cable ampacity and derating calculations using CYMCAP or equivalent software.
Specifications & Procurement SupportDevelop technical specifications for primary equipment and apparatus, including power transformers, circuit breakers, instrument transformers, surge arresters, disconnectors, etc.Review vendor documentation and drawings to ensure constructability, operability, and compliance with equipment specifications, project design, and applicable standards.Develop, maintain, and verify bills of materials for outdoor substation installations, ensuring accuracy for procurement and construction.
Quality Assurance & Technical ReviewReview and verify engineering deliverables produced by junior and intermediate engineers to ensure compliance with project scope, client requirements, and applicable standards.Conduct or participate in design reviews and interdisciplinary design checks.Collect, interpret, and organize project engineering and vendor data to support design integrity.
Coordination & Technical LeadershipCoordinate with other engineering disciplines (civil, structural, protection and control) to ensure integrated design compliance with project requirements and standards.Provide technical guidance and mentoring to intermediate and junior primary engineers, supporting their professional development.Attend and contribute to client technical meetings, design workshops, and project reviews.
Standards, Estimation & Site SupportContribute to the development and continuous improvement of internal engineering standards, templates, and work practices. Support proposal development by providing engineering man-hour estimates and technical input for bids.Provide site construction and commissioning support as required, including resolving design-related field queries and supporting factory acceptance tests (FATs).
QUALIFICATIONS & EXPERIENCE:
Bachelor’s degree in electrical engineering or any equivalent course.Minimum 10 years’ experience in primary outdoor electrical substation design within an EPC or consulting engineering environment.Strong analytical, risk assessment, and problem-solving skills.Meticulous attention to detail with strong interpersonal and communication skills.Excellent organizational skills with the ability to manage multiple concurrent projects and priorities.Working knowledge of relevant Australian (AS/NZS), Canadian (CSA), or international codes and standards.Familiarity with IEEE, IEC, NEC, etc.Proficiency in design and analysis tools such as AutoCAD, MicroStation, ETAP, and CYMCAP.Demonstrated experience in mentoring and leading small engineering teams.
